# Guhan AI Troubleshooting — Fix Common Issues Fast

> Fix the most common Guhan AI issues — LinkedIn session expiry, email delivery, missing prospects, credits, and calendar booking.

This page covers the most common issues users encounter when running campaigns with Guhan AI and walks you through exactly how to resolve each one. Work through the relevant steps below before reaching out to support — most problems can be fixed in under five minutes. If your issue isn't listed here, see the note at the bottom of this page.

  <Accordion title="My LinkedIn session expired or disconnected">
    LinkedIn periodically invalidates active sessions as part of its security measures. When this happens, Guhan can no longer send LinkedIn messages or connection requests on your behalf until you reconnect.

    **How to fix it:**

        In your Guhan dashboard, go to **Settings → Channels → LinkedIn**.

      <Step title="Reconnect your account">
        Click **Reconnect** and re-enter your LinkedIn credentials when prompted. Complete any two-factor authentication steps if your account has them enabled.

      <Step title="Confirm the connection">
        Once reconnected, the status indicator next to LinkedIn will turn green. Active campaigns will resume automatically within a few minutes.

    <Warning>
      If your LinkedIn account has been flagged or temporarily restricted by LinkedIn itself (not just a session expiry), reconnecting alone won't resolve the underlying restriction. In that case, log into LinkedIn directly, complete any verification steps they present, and then reconnect in Guhan.

  <Accordion title="Guhan isn't finding any prospects">
    If your campaign has been running for more than 24 hours and no new prospects are appearing, there are a few likely causes.

    **Possible causes and fixes:**

    * **ICP definition is too narrow** — if your Ideal Customer Profile combines many highly specific filters (for example, a very precise job title, a narrow company size range, and a specific geography all at once), there may not be enough prospects with active buying signals that match all criteria simultaneously. Try broadening one or two filters — for example, expanding the job title list or widening the company size range.
    * **No intent signals matching in your selected timeframe** — buying signals are time-sensitive. If you've set a very short signal window, Guhan may not find enough matches. Go to your campaign settings and extend the signal detection window to the last 30 or 60 days.
    * **LinkedIn session disconnected** — LinkedIn is one of the primary sources Guhan uses to detect signals. If your session has expired, signal scanning is paused. Check **Settings → Channels → LinkedIn** and reconnect if needed.
    * **Wait for a signal refresh** — signal data refreshes every 24 hours. If you just launched your campaign or updated your ICP, allow up to 24 hours for the first batch of prospects to populate.

  <Accordion title="Messages aren't being sent">
    If prospects are appearing in your pipeline but outgoing messages are not being sent, work through the following checklist.

    **Check each of the following:**

    * **Channel disconnected** — go to **Settings → Channels** and verify that the channel you're sending on (LinkedIn, Email, or WhatsApp) shows a green connected status. Reconnect any channel showing a warning or error.
    * **Daily sending limit reached** — each channel has a daily sending limit to protect your accounts from being flagged. If you've hit the limit for today, sending will resume automatically at the start of the next day. You can review and adjust your daily limits in **Settings → Channels**.
    * **Campaign is paused** — check your campaign status in the Campaigns dashboard. If the campaign is paused, click **Resume** to restart it.
    * **Out of credits** — if your credit balance is zero, Guhan cannot research new prospects and will not initiate new outreach sequences. Go to **Dashboard → Credits** to check your balance and purchase a top-up if needed.

  <Accordion title="Prospects aren't receiving my emails / open rates are very low">
    Low open rates or no email delivery usually points to an email deliverability issue. This is one of the most common challenges in outbound sales and is almost always fixable.

    **Steps to diagnose and fix:**

      <Step title="Check your spam folder">
        Ask a colleague or a test contact to check whether your emails are landing in their spam or promotions folder. This confirms whether it's a deliverability problem before you make any changes.

      <Step title="Reduce your daily send volume">
        If you've recently started sending from a domain or inbox that hasn't been warmed up, sending too many emails too quickly will trigger spam filters. Lower your daily send limit in **Settings → Channels → Email** and gradually increase it over two to three weeks.

      <Step title="Set up SPF, DKIM, and DMARC records">
        These DNS authentication records tell receiving mail servers that your emails are legitimate. Ask your domain administrator to verify that SPF, DKIM, and DMARC records are correctly configured for your sending domain. Most major email providers include guides for this in their help centres.
      </Step>

      <Step title="Use a warmed sending domain">
        If your sending domain or inbox is brand new, use a dedicated inbox warm-up service for two to four weeks before ramping up campaign volume. Guhan works best with a well-established sending domain.

  <Accordion title="Meetings aren't appearing on my calendar">
    If prospects are confirming meetings but the events aren't showing up in Google Calendar or Outlook, the calendar connection has likely been interrupted.

    **How to fix it:**

        Go to **Settings → Channels → Email** and click **Reconnect**. When you re-authorise your email account, make sure to grant all requested calendar permissions on the permissions screen — if you skip any permissions, calendar write access won't be restored.

      <Step title="Check calendar permissions in your Google or Microsoft account">
        Log into your Google Account (myaccount.google.com) or Microsoft Account and navigate to the connected apps section. Confirm that Guhan AI has permission to read and write to your calendar.
      </Step>

      <Step title="Test with a new booking">
        After reconnecting, ask a colleague to book a test meeting using your Guhan calendar link to confirm events are now appearing correctly.
      </Step>

    <Note>
      If you recently changed your Google or Microsoft account password, all connected apps are automatically de-authorised for security. Always reconnect Guhan after a password change.

  <Accordion title="I'm running out of credits too fast">
    Credits are consumed each time Guhan researches a new prospect. If your balance is depleting faster than expected, here's how to get more value from each credit.

    **Review your usage:**

    Go to **Dashboard → Credits** to see a breakdown of credit consumption by campaign. This will show you which campaigns are using the most credits and whether the prospects being researched match your intended ICP.

    **Ways to reduce credit consumption:**

    * **Narrow your ICP** — a tighter ICP means Guhan researches fewer prospects overall, but each one is a better fit. Higher-quality prospects also convert to meetings at a higher rate, so you get better results with fewer credits.
    * **Reduce the number of research briefs per day** — in your campaign settings, lower the maximum number of new prospects researched per day. This spreads your credit usage more evenly across the month.
    * **Pause underperforming campaigns** — if a campaign isn't generating replies or meetings, pause it and redirect credits to your best-performing campaigns.

    If you've optimised your campaigns and simply need more volume, you can purchase additional credit packs at any time from **Dashboard → Credits**.

  <Accordion title="A prospect said they didn't want to be contacted">
    Guhan is designed to respect opt-out requests immediately and completely. Here's what to do when a prospect asks not to be contacted.

        Find the prospect in your **Inbox** or **Prospects** dashboard and open their profile.

      <Step title="Mark them as opted out">
        Click the **Mark as Opted Out** option in the prospect's profile menu. Guhan will immediately stop all active sequences for that contact and suppress them from all future campaigns.

      Do not simply pause or skip a step in the sequence for an opted-out prospect — use the **Mark as Opted Out** action to ensure they are permanently suppressed across all current and future campaigns. This is important for GDPR and CAN-SPAM compliance.

  <Accordion title="My campaign analytics don't look right">
    If the numbers in your campaign dashboard seem incorrect — for example, open rates or reply counts that don't match what you're seeing in your inbox — don't panic. Analytics data can take up to 30 minutes to fully update after activity occurs, especially during high-volume sending periods.

    **Steps to resolve:**

    1. **Wait 30 minutes and refresh** — most discrepancies resolve on their own once the data pipeline catches up.
    2. **Check your date range filter** — make sure the date range selected in the analytics view matches the period you're evaluating. It's easy to accidentally leave a narrow date filter active.
    3. **Clear your browser cache** — occasionally stale cached data in your browser can cause the dashboard to display outdated figures. Try a hard refresh (`Ctrl + Shift + R` on Windows, `Cmd + Shift + R` on Mac) or open the dashboard in an incognito window.
    4. **Contact support if the issue persists** — if analytics still look wrong after 30 minutes, email [hello@guhan.ai](mailto:hello@guhan.ai) with your account email, the affected campaign name, and the date range in question. The engineering team can investigate data pipeline issues directly.
