Sender accounts

Your LinkedIn OAuth token expired (usually happens if you changed your password or logged out from all sessions on LinkedIn).Fix: Settings → Sender accounts → [account] → Reauth. One-click re-sign-in with LinkedIn.
LinkedIn flagged unusual activity and paused your account temporarily.Fix:
  1. Sign in to LinkedIn manually (not through Guhan) — you’ll see a message from LinkedIn
  2. Appeal or wait out the restriction (usually 24-48 hours for a first offense)
  3. Once LinkedIn lifts it, return to Guhan → Settings → Sender accounts → Reauth
  4. Guhan resumes at 50% of pace to help rebuild reputation
Prevention: stick to defaults (25 invites/day, 30 DMs/day), allow warm-up on new accounts, use active-hours windows that match your normal usage.
Some bounces are normal (bad addresses, full mailboxes). If your bounce rate is > 5%, something is off.Common causes:
  • Your domain has poor sending reputation → use a warmed-up domain
  • You have no SPF / DKIM / DMARC configured → set these up with your DNS provider
  • Your emails are hitting spam → check your Brand & Voice for spammy phrases (excessive caps, “guaranteed”, “limited time only”)
WhatsApp’s phone-linked session expired.Fix: Settings → Sender accounts → [WhatsApp account] → Reconnect. Scan the QR code with your WhatsApp mobile app.

Watchlist Agents

Filters are too strict.Check:
  • Filtered accordion — is Guhan finding people but rejecting them all? Reason column tells you why.
  • Titles — try broader (“Sales Leader” instead of “VP of Enterprise Sales”)
  • HQ country — is it filtering out people who are in your target country but their company HQ is elsewhere?
  • Signal — pick “any” not “all” signal logic; loosen recency window
Debug: flip your Watchlist Agent to WHO-only (no signals). If it now finds prospects, your signal is the problem. If still zero, your WHO filters are too tight.
Filters are too loose.Options:
  • Set a daily prospect target on the Watchlist Agent (e.g., 25/day). Guhan pauses when you hit it.
  • Add a stricter signal
  • Tighten titles, industry, or company size
  • Raise the score threshold
Guhan found this person via a prior sweep or a different Watchlist Agent. They’re not being messaged twice — this is normal deduplication.Find them via Prospects page (search their name) — they’re already in your List somewhere.
Common cause: your title filter is missing seniority modifiers.“Sales Director” isn’t the same as “Director of Sales” — LinkedIn matches them differently. Add the specific version you want.Auto-variants may include titles below your target seniority. Delete unwanted variant chips from the WHO panel.

Outreach Agents

Common causes:
  • Empty audience — your List has no prospects yet. Wait for the Watchlist Agent to land some.
  • Outside sending window — Guhan won’t send at 3am. Wait for your active hours.
  • Sender broken — check Sender accounts for red/amber dots.
  • Auto-enroll off — prospects need manual approval. Check the Outreach Agent’s Leads tab for unapproved prospects.
After 100+ sends with zero replies:
  • Read a sent message — look at any prospect timeline. Does the message read like something YOU’d write? Or does it feel like an AI blast?
  • Adjust your Brand & Voice — tone might be off, or you might have too many “always include” phrases making messages feel scripted
  • Check your sequence — is the first message a hard pitch (bad) or a soft observation (good)?
  • Check timing — sending Monday 9am? Everyone else is too. Try Tuesday 2pm.
Replies but no bookings usually means:
  • Your CTA is unclear — messages don’t ask for a call
  • Your CTA is too heavy — asking for 30 min on first touch is a lot
  • Prospects reply “not now” — try a longer nurture sequence
  • Meeting request classification is misfiring — check Inbox tasks for “interested” replies you might have missed
Guhan personalizes but your BRAND VOICE + TEMPLATE combo might be over-constrained.
  • Remove “always include” phrases that turn into filler
  • Simplify the sequence brief — over-specific briefs produce over-similar outputs
  • Turn on Fetch recent post for DM steps → messages ground in each prospect’s actual content

Inbox + replies

For LinkedIn: Guhan gets webhook notifications from Unipile. There’s a 1-5 minute delay typically. If nothing arrives after 15+ minutes, your Unipile webhook may be broken — contact support.For email: replies land within 30 seconds usually. If not, check your sender’s Reauth status.
Very short replies (“k”, “thx”, “no”) sometimes get skipped. They’ll still show in the prospect timeline but might not create a task.Also: replies from non-prospects (colleagues cc’d, autoresponders) get filtered.
Report it — 👎 on the classification. We use these for model improvement.In the meantime: click the task’s kebab menu → Reclassify → pick the correct category.

Meetings

Your Google/Outlook calendar shows you as busy across the offered window. Check:
  • Working hours in Google/Outlook are correct
  • No all-day blocking events that shouldn’t be there
  • Meeting duration + buffer in Guhan aren’t too long (30 min meeting + 15 min buffer = need 45 min gap; if your calendar shows only 30 min gaps, no slot appears)
Sync delay from Google/Outlook, usually resolves in ~1 minute.If it’s been longer:
  • Check your Guhan calendar connection — Settings → Calendars → [account] → status should be Active
  • Reauth the calendar
  • Meeting should appear on your calendar as soon as Guhan resyncs
Guhan uses UTM parameters (Calendly) or custom metadata (Cal.com) to track bookings. If the prospect clicks the link but the tracking gets stripped:
  • Some URL shorteners strip UTMs — check your Guhan-generated links
  • Cal.com’s webhook may not be configured — Settings → Calendars → Cal.com → check webhook status

Billing

Sync delay. Refresh the page. If still 0, check:
  • Billing anniversary — did the plan actually renew? Settings → Billing → next renewal date
  • Payment issue — did the card charge fail? Look for a payment-failed banner
