Calendar integration is what closes the loop. When a prospect agrees to a meeting, Guhan doesn’t just log the win — it generates a personalized booking link, sends it to the prospect, and lands the confirmed meeting directly on your calendar, complete with a video conference link. From intent signal to booked call, the entire journey is handled automatically, with no scheduling back-and-forth required from you.

Supported Calendar Providers

Guhan natively integrates with the two most widely used business calendar platforms:

Google Calendar

Supported for all Google Workspace accounts. Calendar access is granted automatically when you connect your Gmail sender account.

Microsoft Outlook Calendar

Supported for Microsoft 365 accounts. Calendar access is granted automatically when you connect your Outlook sender account.

Connecting Google Calendar

1

Go to Email Settings

Navigate to Settings → Channels → Email. Google Calendar is linked through your Gmail sender account — there is no separate calendar connection step.
2

Connect Gmail

Click Connect Gmail and complete the Google OAuth flow. When prompted, approve the calendar permissions — these are included automatically alongside email permissions.
3

Set Your Availability

Once connected, go to Settings → Calendar → Availability to configure your working hours and the days you are open for meetings.
4

Choose Meeting Duration

Select your default meeting length: 15 minutes, 30 minutes, or 60 minutes. You can offer multiple durations if your sales process calls for it.
5

Go Live

Save your settings. Guhan will now include your available booking slots whenever a prospect agrees to a meeting.

Connecting Outlook Calendar

The Outlook Calendar connection follows the same flow as Google — calendar permissions are bundled with your email sender authorization.
1

Go to Email Settings

Navigate to Settings → Channels → Email.
2

Connect Outlook

Click Connect Outlook and complete the Microsoft 365 OAuth flow. Approve the calendar permissions when prompted.
3

Set Your Availability

Configure your available hours and meeting days under Settings → Calendar → Availability.
4

Choose Meeting Duration

Select your preferred default meeting length: 15 minutes, 30 minutes, or 60 minutes.
5

Go Live

Save your settings. Guhan is now ready to book meetings directly onto your Outlook calendar.

Setting Your Availability

Your availability settings give Guhan the boundaries it needs to book meetings without overbooking or creating scheduling conflicts. Configure all of the following under Settings → Calendar → Availability:
SettingDescription
Working HoursThe start and end time of your bookable window each day
Days of the WeekToggle which days prospects can book meetings
Buffer TimeA gap between meetings to give yourself preparation time
Maximum Meetings Per DayA hard cap on how many meetings Guhan can book in a single day

How Booking Works

Once your calendar is connected and availability is set, Guhan handles the entire booking flow autonomously.
1

Prospect Agrees to a Meeting

Guhan detects a positive response — across LinkedIn, Email, or WhatsApp — and recognizes that the prospect is ready to book.
2

Booking Link Sent

Guhan generates and sends the prospect a personalized booking link that reflects your real-time availability.
3

Prospect Picks a Slot

The prospect selects a time that works for them from your available slots.
4

Meeting Created in Both Calendars

A calendar invite is created in both your calendar and the prospect’s, automatically including a video conference link — Google Meet for Gmail connections, Microsoft Teams for Outlook connections.
5

You Receive a Notification

Guhan sends you an email notification confirming the booking, including the prospect’s name, company, and meeting time.
6

Dashboard Updated

Guhan marks the prospect’s status as Meeting Booked in your dashboard, updating your pipeline automatically.
Set a 10-minute buffer between meetings so you have time to review the prospect’s research brief before each call.
